This policy explains what personal information Elevate Maths Ltd collects through elevatemaths.co.uk and through the tutoring we provide, why we hold it, how long we keep it, and what you can ask us to do with it.
Because we teach students under 18, some of what we hold relates to children. It is given to us by a parent or guardian, and we keep it to the minimum the service needs.
Who We Are
Elevate Maths Ltd is the data controller for the information described here, which means we decide what is collected and what happens to it. All tutoring is delivered personally by Sajan Shah.
We are registered in England and Wales, company number 17466607, with a registered office at 167-169 Great Portland Street, 5th Floor, London, United Kingdom, W1W 5PF. You can contact us at sajan@elevatemaths.co.uk.
Information You Give Us
When you submit an enquiry we collect your name, email address, phone number and relationship to the student, along with the student's name, current year group and current maths grade, who recommended us if you tell us, and anything you add in the notes.
If your child joins a cohort we go on to hold billing details, attendance, homework and assessment results, progress report content, and our correspondence with you.
We do not ask for health, ethnicity, religious or similar sensitive information. Please share a learning need only where it genuinely affects how your child should be taught.
Information Collected Automatically
Our host records standard technical information when a page is served, including IP address, browser and device type, the pages viewed and the time of the visit. We use this to keep the site working and secure, and we do not attempt to identify individual visitors from it.
Why We Use It
- Answering your enquiry and arranging a Discovery Session — steps taken at your request before a contract.
- Teaching your child and reporting on progress — performance of our contract with you.
- Invoicing and keeping accounting records — legal obligation, and our contract.
- Holding a student's details within a parent's enquiry — our legitimate interest in judging whether the programme fits, weighed against the student's privacy.
- Publishing testimonials, photographs or video — consent, given separately in writing.
- Keeping the site secure and working — our legitimate interest in running a safe site.
Where we rely on consent you may withdraw it at any time, and we will act on that without asking you to justify it.
Cookies
Some cookies are necessary for the site to function. Others run only if you agree to them. You choose when you first arrive and you can change your mind at any time using cookie settings, or through your browser. Some features may not work correctly if cookies are blocked entirely.
Students Under 18
Our service is bought by parents and guardians. The enquiry form is intended to be completed by an adult, and we ask that students do not submit it themselves. If we learn that a student has given us their details without a parent's involvement, we will delete them.
A parent or guardian may ask at any time to see what we hold about their child, to correct it, or to have it deleted. Where the student is old enough to form their own view, we will take that into account as well.
Testimonials and Images
We sometimes publish a student's first name, the grade achieved, the years we worked together, and a photograph or short video.
We do this only with written permission. Where the student is under 18 that permission comes from a parent or guardian, and we ask the student too. Permission for a written quote is requested separately from permission for a photograph or video, and agreeing to one is never treated as agreeing to the other.
Email us to have a testimonial, image or video removed and we will take it off the live site. Copies may remain in search engine caches or web archives for a time afterwards, which is outside our control.
Who Else Sees It
We do not sell or rent personal data, and we do not share it for anyone else's marketing.
A small number of providers process data on our behalf, under contract and only on our instructions: EmailJS delivers enquiry form submissions, GitHub Pages hosts the site, Cookiebot records cookie choices, and our email provider handles correspondence. Some are based outside the UK, including in the United States, and those transfers rely on safeguards recognised under UK law such as Standard Contractual Clauses with the UK Addendum.
We may also disclose information where the law requires it, or where there is a safeguarding concern about a child's welfare.
How Long We Keep It
- Enquiries that do not lead to enrolment — kept 2 years from your last contact.
- Student and teaching records — kept 3 years after the student leaves the programme.
- Invoices and accounting records — kept 6 years, as UK tax law requires.
- Published testimonials and images — kept until permission is withdrawn.
Safeguarding and Security
Sajan Shah holds an enhanced DBS check, including a check against the children's barred list. The certificate is available to view on request.
Student records are held in access-controlled storage reachable only by Sajan Shah, and enquiries are transmitted over an encrypted connection. No transmission over the internet can be guaranteed completely secure, but we keep the amount of information we hold as small as the service allows.
Marketing
We will contact you about your enquiry and about the cohort your child is enrolled in. We will only send wider updates about future intakes if you have agreed to receive them, and every such message includes a way to stop. You can opt out at any time by replying or emailing us.
Links to Other Sites
This site may link to pages we do not control. We are not responsible for how those sites handle personal data, and you should read their own privacy notices.
Your Rights
Under UK data protection law you can ask us to give you a copy of what we hold about you or your child, correct anything inaccurate, delete data where we no longer need it, restrict or stop our use of it, provide it in a portable format, or withdraw permission you gave earlier.
Email sajan@elevatemaths.co.uk. We will respond within one month and there is no charge. We may need to confirm who you are before acting on a request.
Complaints
If you are unhappy with how we have handled your information, please tell us. Email sajan@elevatemaths.co.uk and we will look into it and respond directly.
You also have the right to raise a concern with the Information Commissioner's Office.
Changes and Contact
If we change how we use personal data we will update this page and the date at the top. Where a change is significant we will contact current families directly rather than relying on you to check.
